SCOPE NOTE — AP-SCO-003

Arkib Pusaka organises documents, builds family archives, researches family history from public and family sources, explains publicly published procedures in plain language, and coordinates appointments. We do not advise on entitlements or ownership, do not represent anyone before any authority, do not value or hold property, and do not handle money on anyone's behalf.

AP-SVC-APP / OUR APPROACH

How we work, across all three services

Every Arkib Pusaka engagement begins with a written scope note — a single page stating what we will do, what we will not do, and what the family will receive at the end. This is signed by both parties before any session starts. There is no ambiguity about our role and no room for scope creep.

We use professional archival cataloguing standards throughout: each document is described by type, issuing authority, date, and physical condition. Scans are captured at 600 dpi with colour calibration. Digital files are linked to their metadata records and delivered on encrypted media. No cloud services are used without written approval.

AP-SVC-001 / FIRST SERVICE

Document Inventory Session

RM 620 — fixed price

A three-hour session in which we go through the papers a family holds — identity documents, property and vehicle papers, account statements, insurance folders, membership records, land documents — and build a written inventory listing each item, its date, its condition and where the original is stored. We note which items appear to be missing and which office issues each, drawing on publicly published information.

AP-SVC-002 / SECOND SERVICE

Family Archive Build

RM 1,950 — fixed price

Six weeks of archival work: collection of documents from the family home, cleaning and flattening of fragile papers, scanning at 600 dpi with per-item metadata, construction of a printed index, preparation of an acid-free storage box for originals, and delivery of an encrypted digital archive to each named family member. Includes arrangement of accredited translation for documents in other languages and attested copies made through the family's own commissioner of oaths. Two review meetings included, with a written handover at the close.

Complete Estate Records Programme

RM 4,500 — fixed price

A nine-month programme for families organising records spread across several states, generations or languages. Includes home visits within the Klang Valley and courier handling elsewhere, complete archival scanning and indexing, reconstruction of a family timeline from available papers, genealogy research through public registries and family sources, preparation of a per-branch folder set, four family briefing meetings with written minutes, drafting of routine correspondence for family signature, and coordination of appointments with the professional adviser the family appoints. Every decision remains with the family throughout.
