Archival training, not general admin

Our team's background is in institutional archiving. We apply the same cataloguing standards used by national archives to a family's personal collection.

Originals never leave the family's control

We sign a receipt for every document we handle during scanning sessions. Originals are returned on a set date. We hold nothing long-term.

End-to-end encryption for digital archives

Scanned files are encrypted at rest and delivered to named recipients only. No cloud storage is used without the family's explicit written consent.

Sessions in English, Malay or Mandarin

Our team works in the language the family is most comfortable with. Documents in other languages are handled through accredited translators the family approves.

Home visits within the Klang Valley

For the Complete Programme, we visit the family home to assess and collect documents rather than asking families to transport fragile papers to our office.

Our principal archivist spent twelve years at the National Archives of Malaysia before founding Arkib Pusaka. The digitisation lead holds a background in conservation scanning. Between the three full-time team members, we have over twenty years of hands-on experience with paper records in Malay, English, Mandarin, and Tamil.

That background shows in how we handle fragile documents — unfolding rather than flattening, scanning rather than photocopying, noting condition rather than assuming. It shows in how we describe items — using document type, issuing authority, date, and condition rather than a free-text title.

Professional digitisation tools

AP-BEN-TECH

We use flatbed scanners capable of 600 dpi with colour calibration panels — the same standard used by government archives for long-term preservation. Every scan is linked to a metadata record noting the original document's reference, date, issuing authority, and condition.

The resulting digital archive is delivered on encrypted USB media, indexed in a spreadsheet and a PDF register. Families can search by document type, date range, or person's name. No special software is required to open or use the archive.

Care when it is most needed

AP-BEN-SVC

Many families contact us shortly after a bereavement. We are aware that sorting through a parent's papers can be difficult work, and we do not treat it as a routine task. Sessions can be paused, rescheduled, or spread across multiple shorter visits if that suits the family better.

We are not in a hurry. The archive will be accurate when it is finished. We would rather take a little longer and get the record right than rush through a session that leaves family members feeling unsettled.

Clear, fixed pricing

AP-BEN-VAL

Each of our three services is priced as a fixed package with no hourly rate and no scope creep. A Document Inventory Session costs RM 620 regardless of how many items the family holds. A Family Archive Build costs RM 1,950 for six weeks of work. The Complete Programme costs RM 4,500 for nine months.

We invoice in two stages: half at the start, half at handover. There is no deposit beyond the first invoice, and no charges are raised for rescheduled sessions or additional review meetings within the programme scope.

A complete, usable archive at the end

AP-BEN-RES

The result of any Arkib Pusaka engagement is something the family can actually use: a written inventory they can share with a solicitor, a printed index they can refer to, an encrypted digital archive they can copy and distribute to family members in other cities or countries.

We conduct a handover meeting at the end of each engagement where we walk through the archive with the family and answer any questions about individual records. After handover, we retain no copies of the family's documents.

A written scope statement on every engagement

Before any session begins, we give the family a one-page written note stating exactly what we will do and — equally — what we do not do. That note is signed by both parties. No ambiguity about whether we are advising on ownership.

Destruction certificate for working copies

At handover, we issue a written certificate confirming that all working copies of the family's documents held on our systems have been deleted. No family document remains in our possession after handover.

Public-registry cross-referencing

For the Complete Programme, we check each document's details against publicly available registry records — land registration numbers, company registration records, national identity details — so that discrepancies between the family's papers and official records are flagged before they become a problem.

Family timeline from available papers

We produce a written timeline of the family's documentary history — when each property was acquired, when key documents were issued, when major changes occurred — drawn directly from the documents rather than from family recollection. Useful for advisers and for younger family members who may not know the full history.
